Add Resources

Resources are items people can request for events. They always contain a quantity, and Calendar tracks how many resources are available. Create all your resources so events can be created more quickly, adding all the necessary requests to the event.

The Resources page provides general information about your existing resources and where they've been approved.

  1. View events with reserved resources on the calendar.

  2. Select the arrow to see what's reserved for that event.

  3. To add a new resource, click New and select Resource from the dropdown.


You can't add new resources if you don't have permission to manage resources.

Create a resource by completing the fields in the New resource popup.

  1. Add a title people will recognize when requesting the resource.

  2. Input the number of this resource you have. The amount will adjust for impacted dates as the resource is approved for events.

  3. Put the resource in a folder to keep your resources organized.

  4. Check which Approval Groups will approve or reject the resource request.

Select Create to complete creating the new resource and go to the resource's settings.

Resource Settings

Each resource has its own setups, approval groups, and questions, along with the sidebar, which shows the calendar and any reservation blocks.

  1. Select the pencil icon to change the resource's name, choose the folder, update the quantity, or change the location where the resource is stored. Select the image to update it.


    Use the Image Sizing Guide to upload the right size and file type.

  2. Delete, Duplicate, Run a report for the resource, or Share a calendar feed that outlines when the resource is being used.

  3. Use the calendar to see when the resource has been requested by selecting a dotted date.

  4. Add a description to give more context about the resource.

  5. Expand sections to see who is listed in the Approval Group. You can remove an approval group by clicking X next to it or add additional groups by clicking Add approval group.

  6. Enter the date the resource might need to be replaced and the serial number to help with re-ordering.

  7. Ask any necessary questions to present the resource in the best way. These upfront questions help reduce questions for you when the event happens.


If you no longer use a resource and need to delete it, run a year report first to ensure that the resource isn't used in the next year. When a resource is deleted, it is deleted from all events, and pending approval requests for the resources will no longer be displayed in notifications.

Duplicate a Resource

If you have a resource that needs the same questions and approvals as another resource, duplicate it!

Open the resource you want to duplicate and click Duplicate.


Rename your new resource, adjust the approval group if needed, then select Create.
